Administration

This guide covers how to manage users and control who can access your organization's Chat App.

This section is for organization administrators only.

If you're a regular user, you can safely skip this page.


How Users Join

Users can join in two ways:

1. They Sign In Themselves

Anyone with a work email address from your organization can sign in using your company's existing login system (the same one you use for email or other work apps).

Their account is created automatically with an active email status, but they cannot use the Chat App until the admin assigns them the user role. The admin sees them in the user list with the Access toggle turned off.

2. The Admin Creates Their Account

The admin can manually create accounts for users directly in the admin dashboard:

  1. Click Create User
  2. Enter the user's email and name
  3. The system creates the account and gives the admin a temporary password
  4. The admin gives the password to the user securely
  5. The user can log in and start chatting immediately

The User List

The admin dashboard shows everyone in your organization. Each user has:

  • A status — Email verification status: Active, Pending, or Inactive (active by default)
  • An access toggle — Turns the user role on or off, which controls whether they can use the Chat App
  • An email verification icon — Their email is verified automatically

Use the search bar at the top to find users by name or email.


Common Tasks

Add a New Team Member

The fastest way:

  1. Go to the admin dashboard and click Create User
  2. Enter the user's email and name
  3. Save the password from the confirmation screen
  4. Give the password to the user securely
  5. The user can log in immediately

If they signed in themselves first:

  1. Find them in the user list (their Access toggle will be off)
  2. Click the Access toggle to turn it on (assigns the user role)
  3. Ask the user to log out and log back in for the change to take effect

Remove a Departing Employee

  1. Find the user in the dashboard
  2. Turn their Access toggle off — this removes the user role and blocks them immediately
  3. If your company policy requires it, click Delete User Data to remove all their conversations and files permanently

Deleting user data cannot be undone. Make sure your company policy allows it before proceeding.

Help Someone Who Cannot Log In

  1. Find the user in the dashboard
  2. Check if their Access toggle is turned on — if not, turn it on to assign the user role
  3. If the admin recently changed their access, ask the user to log out and log back in
  4. If they still cannot log in, contact the support team

Roles

There are two types of users:

Account Overview

The admin dashboard shows a summary of all accounts in your organization at a glance.

Account Counts

MetricDescription
Total AccountsThe overall number of user accounts in the organization
ActiveAccounts with an Active status that can use the Chat App
PendingAccounts with a Pending status awaiting activation or verification
With AccessAccounts that currently have the Access toggle enabled
Without AccessAccounts whose Access has been revoked

These counts update in real time.


Reserved Seats

Each client organization is allocated a specific number of reserved seats based on their subscription plan. This number is displayed directly in the admin dashboard.

Seat Management

  • Reserved Seats — the fixed number of seats included in your current plan
  • Total users — the number of users added to the Chat App

Over-Usage Warning

If the number of users with access exceeds your reserved seat count, a warning indicator appears in the admin dashboard. This serves as a heads-up that over-usage fees will apply in the next billing cycle.

Even when the reserved seat count is reached, the admin can still add new users. Users are never blocked from access. The warning simply informs administrators that additional charges will be included in the next payment.
